Prospect Day Event Terms

Effective Date: 8 August 2026 Operator: Fastpitch Authority Contact: support@fastpitchauthority.com These terms govern registration for and attendance at a Fastpitch Authority Prospect Day or other in-person event. ## 1. Registration Registration is per athlete and is complete only when payment has been taken and the required forms signed. A place is not held while a form is outstanding. Places are limited. Where an event is full, registration closes. If a place becomes available we do not maintain an automatic waiting list unless the event page says otherwise. ## 2. Price and payment The price is shown on the event page and is charged in full at registration. Payment is processed by Stripe; we do not receive or store full card numbers. ## 3. All sales are final **Event registrations are non-refundable.** This includes an athlete who does not attend, who arrives too late to complete the stations, who is withdrawn during the event for injury or conduct, or who is unable to attend for any personal reason including illness, injury, travel, a schedule conflict or a family emergency. We know that reads as unforgiving. The reason is that a place taken is a place another family could not have, and our costs are committed once the event is staffed. This does not limit any refund right that cannot be waived under applicable law. ## 4. If we cancel or postpone If we cancel an event, or postpone it and you cannot attend the new date, you may choose either a **full refund** or a **credit** toward a future event. Tell us which within 30 days. ## 5. Weather Events run in most conditions. We may pause for lightning, heavy rain or extreme heat, and may shorten or reorder stations to complete safely within the day. - If an event is **completed**, however shortened, no refund is due. - If an event is **abandoned before any measurement is taken**, it is treated as a cancellation under section 4. - If an event is **abandoned partway**, we will publish every measurement completed, and offer a credit of half the ticket price toward a future event. ## 6. Transfers A registration may be transferred once, without charge, to another event within twelve months, provided you ask at least **seven days** before the original date. Inside seven days a place cannot be transferred. A registration may not be transferred to a different athlete. ## 7. Arrival and check-in Check-in time is on the event page and in your confirmation email. An athlete arriving after her group has begun may be unable to complete every station, and no refund or partial refund is due for stations missed. The venue address is sent to registered families by email and is not published. Please do not post it publicly. ## 8. What she should bring Her own bat, helmet, glove and cleats, and appropriate clothing for the weather. Water is provided. Specific requirements are on the event page. ## 9. Results Measurements are taken by our staff on calibrated equipment. Each result carries a record of the device, its serial number, its calibration date, the operator, the method and the time. Results are published to the athlete's profile, normally within a few days. A result that our staff judge to be invalid — a mistimed run, an equipment fault, a false start — is not published, and no refund is due for an individual station. **Measurements do not affect any Fastpitch Authority ranking.** Rankings are computed only from games kept in Flex Scorebook. Attending an event cannot move an athlete up a board. ## 10. Conduct We may remove an athlete, a parent, or anyone accompanying them, without refund, for conduct that is unsafe, abusive, or disruptive. Instructions given by staff for safety reasons must be followed. Coaching from the sideline during timed or measured stations is not permitted, as it affects the measurement. ## 11. Photography by attendees You may photograph and film your own athlete. Please do not photograph or film other people's children, and do not publish images in which other athletes are identifiable. Our own photography is governed by the Media Release, which is optional. ## 12. Supervision An athlete under 18 must have a parent, legal guardian or a designated adult present at the venue for the duration of the event. Our staff supervise activity at the stations; they do not act in place of a parent. ## 13. Liability Attendance is subject to the Participation Waiver, Assumption of Risk and Release of Liability signed at registration. ## 14. Changes We may change the schedule, stations, staff or venue of an event. Where we change the venue we will tell registered families by email as soon as we can. A change of venue within the same locality is not a cancellation. ## 15. Governing law These terms are governed by the laws of the State of Alabama. Any action arising out of them shall be brought exclusively in the state or federal courts located in Winston County, Alabama.
