Children's Privacy Notice

Effective Date: August 6, 2026 Document: Children's Privacy Notice Operator: Fastpitch Authority, 126 Shipman Ln, Double Springs, Alabama 35553 Contact: support@fastpitchauthority.com This notice explains how Fastpitch Authority handles information about children under 13, and what rights a parent or legal guardian has. It is written to meet our obligations under the Children's Online Privacy Protection Act (COPPA). It sits alongside the Privacy Policy. Where the two differ in respect of a child under 13, this notice governs. ## 1. Children do not hold accounts A child under 13 cannot create an account, sign in, or control anything on Fastpitch Authority. Every decision about her is made by a parent or legal guardian through an adult account. This is not a policy we ask children to follow. It is how the system is built. ## 2. How a child's information reaches us There are two routes, and the difference matters. **A coach adds her to a roster.** A coach entering a lineup adds a first name, a last name and a jersey number. No parent has been involved at this point, and no consent exists. We call this an unclaimed entry. An unclaimed entry is **never named publicly**. On team pages, box scores, and anywhere else a visitor can see, she appears as a jersey number and a position. Her name is not shown to anyone outside her own team's coaching staff. **A parent claims her.** A guardian follows a claim link, creates an adult account, and confirms she is the parent or legal guardian of that child. That claim is the point at which consent begins to exist, and it is recorded with a timestamp. Claiming a child does not make anything about her public. It gives the guardian control. What becomes public afterwards is a separate decision the guardian makes. ## 3. What we collect about a child - First and last name - Date of birth - Graduation year, positions, jersey number - Team, school, city and state - Height and weight, if a guardian supplies them - A photograph, if a guardian uploads one - Game statistics, recorded by a coach keeping the book - Verified measurements taken at an event, if she attends one - Video, if recorded at an event or uploaded by a guardian We collect a date of birth so that we can apply the protections in this notice. It determines her age band and triggers the under-13 rules. It is never published. We do not ask a child for information directly. We do not ask for more than is needed to appear on a roster and have her play recorded. ## 4. What we never do - We do not let a child under 13 create or control an account. - We do not publish an unclaimed child's name. - We do not show any athlete under 13 to a college coach account. This is enforced in our database by two independent rules: the access rule itself tests her age, and the visibility flag physically refuses to be set on a child under 13. It is not a setting, and it cannot be turned off by a coach, by our staff, or by a guardian who asks. - We do not publish an athlete under 13 on a public ranking board, whatever consent has been given. - We do not publish the venue or start time of a game. - We do not send marketing email to a child. - We do not send a child's name, photograph, statistics, or ranking to our marketing email provider. It receives adult contact details and coarse account facts only. - We do not sell personal information, and we do not allow advertising networks to profile visitors. - We do not condition a child's participation on disclosing more information than is reasonably necessary. ## 5. Parental consent, and what it does and does not unlock Nothing about a child under 13 becomes public automatically. A guardian must claim her, and then decide separately what may be shown. **Her profile appearing publicly** requires a recorded consent to public listing, granted by the guardian, stored with a timestamp and the version of the document agreed to. Without that consent she is not publicly listed, whatever else is true of the account. **Her name appearing in the rankings does not happen at all.** An athlete under 13 is excluded from public ranking boards regardless of consent, regardless of subscription, and regardless of what any adult asks for. Her performance is recorded and her family can see it. It is not published on a public leaderboard until she is 13. **A college coach cannot see her under any circumstance.** See section 4. A guardian may consent to a profile existing while refusing photographs, refusing video, or refusing publicity use. Those are separate choices, each recorded separately. The Media Release is optional in full — declining it does not affect her ability to attend an event, be measured, or have her play recorded. A guardian may withdraw any of these at any time. ## 6. Video is treated separately Video does not play unless a consent permitting it has been recorded. The absence of consent blocks playback; permission is not assumed and then withdrawn on request. Withdrawing that permission blocks playback again immediately, everywhere on the platform, and that block is applied in the database. ## 7. Rankings An athlete who qualifies is ranked whether or not her family pays us anything. Rank position is never for sale, and subscription status is excluded from every input to the calculation. A child under 13 is not shown on a public ranking board at all. Her statistics are recorded and available to her own family; her name does not appear on a public leaderboard until she is 13. ## 8. What a parent or guardian can do You may at any time: - **Review** the information we hold about your child - **Correct** anything that is wrong - **Delete** her information and her profile - **Withdraw** any consent you have given, including for photographs and video - **Refuse** any further collection or use of her information Refusing further collection means her profile is removed. It does not mean she is removed from the record of games that were played — see section 9. **How to make a request.** Email **support@fastpitchauthority.com** from the address on your account, with "Privacy Request" in the subject line. Tell us your child's name and her team. We will acknowledge within 5 business days and complete the request within 30 days. Requests are currently carried out by our staff. We are building a self-service option; until it exists, email is the way. We may need to confirm you are the guardian on the account before acting, particularly for a deletion. ## 9. What deletion removes, and what it does not Deleting a child's profile removes her name, date of birth, photograph, graduation year, biography, and any measurements, and removes her from the rankings. Statistics from games she played may remain in the record of those games, anonymized. A box score with a player quietly removed is a false record of what happened on the field, and the other families in that game are entitled to an accurate one. Nothing in an anonymized record identifies her. ## 10. Unclaimed entries expire A roster entry created by a coach and never claimed by a guardian is de-identified after 12 months without activity. Her name is removed automatically. This runs on a schedule; nobody has to remember to do it. ## 11. Coaches cannot decide these things A coach can build a roster and keep the book. A coach cannot change an athlete's visibility, her photograph, her biography, or her academic information. Those belong to the guardian. A coach who claims a player in error can undo it, and doing so revokes the consent that claim created. ## 12. Security Protections described in this notice are enforced at the database layer rather than in the interface alone. The browser holds a public key, so an interface check is a convenience and not a security control. Athlete photographs are held in private storage. Video is served through signed links that expire. ## 13. Changes If we change this notice we will update the effective date and notify account holders by email where the change is material. Where a change would broaden a consent you have already given, we will ask again rather than rely on the consent you gave to the earlier version. ## 14.
